The transition from a PBX phone system to Hosted VoIP has been both positive and exceptionally smooth for Commonwealth Digital. Not only did we see a monthly reduction of over $1,400.00 on our phone bill, but VoIP opened many new technological features that were previously unavailable. Voicemail to email, ability to answer calls from anywhere and video conferencing are just a few. The initial hardware investment was recovered in less than 9 months. Network data traffic speeds has been improved with the upgraded PoE switches. Bills prepared for 4 different service providers each month has now been streamlined to just one.
Aims/Objectives
Commonwealth Digital was running a PBX phone system which connected our main office in Sterling, Virginia to a branch office in Greenbelt, Maryland. The system was old and required a service contract to maintain. Commonwealth had phone bills coming from the local provider, the long distance carrier and telecommunication providers that connected the two offices. Commonwealth had three different vendors that would many times point the finger at each other when there was a service disruption. There were also concerns about the age of the existing PBX, and how an outage or hardware failure would basically shut the company down. The objective was to upgrade to a modern phone system with redundancy against outages, as well as provide new features to assist in company productivity. The ability to get a better handle on the current phone charges and finding a phone system with better long term value was also important.
What did we do?
In 2018, Commonwealth Digital decided to upgrade their aging phone system and looked into the benefits of converting to a VoIP system. We worked with All Covered to come up with a custom solution system that would highlight an upgraded infrastructure along with new technology, new phones and many new useful features. The only question left was, how much is this going to cost us?
What was the context / background?
All Covered provided a quote with the following hardware upgrades in mind. The current network had 6 aging switches that were to be upgraded to ProSafe M4100-50g PoE+ switches. 72 new Polycom VVX 411 phones were requested, as well as 2 Polycom Trio 8500 IP Conference phones. We gathered up all of our current telecommunication bills, and then did a cost analysis between our monthly average and the All Covered quote. This is how everything stacked up:
How successful has it been?
At Commonwealth Digital we are pleased to report the switch from a PBX based phone system to VoIP has been a very positive one. Voice quality over the VoIP system has been crystal clear. On the one occasion where we experienced a local power outage, the office phones were simply routed to off-site PC’s and cell phones until power was restored. Adding / moving employees around the office is easy, and so is the process of working and resolving issues with the All Covered VoIP Help Desk. Having the ability to send voicemail to user email accounts adds another layer of redundancy, and this also removes the process of having to dial into the phone system to check for and / or retrieve voice messages.
